Privacy Policy
Altervan Roadtrips respects your privacy. This policy explains what personal data we collect, why, and how we protect it, in accordance with the General Data Protection Regulation (EU) 2016/679 (GDPR) and Greek Law 4624/2019.
1) Data controller

2) What data we collect
- Identity & contact details: full name, email, phone number, date of birth, passport/ID details (where required for bookings).
- Booking & payment data: trip, dates, amounts. Payments are processed through banks/payment providers — we do not store full card details.
- Data from using the site: IP address, device/browser type, pages visited, via cookies & analytics.
- Communication: messages via the contact form, email, or WhatsApp.
- Trip Chat messages: if you are confirmed on a trip, a private group chat for that trip’s travellers only opens 40 days before departure. We store the messages you send, your reactions, and any abuse reports you submit or that concern you. Your fellow travellers see only your initials, profile photo, and gender (if you have set one) — never your full name.
3) Purposes & legal basis for processing
- Performance of the contract (booking & organizing the trip) — Art. 6(1)(b) GDPR.
- Compliance with legal obligations (tax, tourism regulations) — Art. 6(1)(c).
- Legitimate interest (improving our services, security, responding to enquiries) — Art. 6(1)(f).
- Consent (newsletter, marketing cookies) — Art. 6(1)(a), revocable at any time.
- Running Trip Chat & keeping participants safe (connecting you with your fellow travellers before the trip, maintaining a safe environment) — Art. 6(1)(f), legitimate interest. Authorised Altervan personnel may access conversation content when reasonably necessary for safety, moderation, customer support, security, or legal compliance purposes. Every such access is logged.
4) Cookies
We use essential cookies for the site to function and, with your consent, statistics/marketing cookies. You can manage your preferences from the relevant banner or your browser settings.
5) Who we share data with
We share data only to the extent required with: trip service providers (accommodation, carriers, local partners), payment providers, insurers, and IT providers (hosting, email, analytics). We never sell personal data.
6) International transfers
When a trip involves a destination outside the EEA, certain data may be transferred to providers outside the EU, solely for the purpose of fulfilling the booking, with appropriate safeguards (e.g. standard contractual clauses).
7) Retention period
We retain data for as long as our relationship lasts and for as long as the law requires (e.g. tax records for 5+ years). Marketing data is retained until consent is withdrawn.
8) Your rights
You have the right to access, rectify, erase, restrict, object, port your data, and withdraw consent. To exercise your rights, contact [email protected]. You also have the right to lodge a complaint with the Hellenic Data Protection Authority (dpa.gr).
9) Security
We apply appropriate technical & organizational measures (SSL encryption, restricted access) to protect your data from unauthorized access, loss, or misuse. Trip Chat is not end-to-end encrypted; staff access is described in section 3 above and is always logged.
